The meeting was called to order at 8:10 AM by President Greg Zakrzewski. He introduced our new member Mike Carrier from the Niagara Orleans Country Club.

Treasurers Report: Current balance – $2,808.32. Payments since last meeting include newspaper ad for Music In The Park, paper supplies for tickets and flyers.

Ann Busch reported that the wineries did well at the event, as well as Baker Farms.

Julie reported that the Bicentennial had a basket raffle at their event at the ravine and made $700. She suggested we do this type of raffle with more basket offerings instead of the three prizes we have done in the past as people seem to love the offering of 50 or more baskets that they can buy chances for. She noted that the baskets would not have to be elaborate. We could have smaller baskets with just a few items, a gift certificate, or perhaps one item of more value. We would need more member participation to seek out donations from many businesses and improve our promotion of the event.

Other suggestions include
1. Include more information on larger signs to list bands that will be playing
2. Include more information on signs and/or flyers that list vendors participating
3. Be more clear on cost for the event
4. Communicate that this event is to raise money for the RHBPA Scholarship
5. Include a map for location of event (on signs or flyers)
6. More participation from members on selling tickets
7. More breweries (we should have two)
8. Contact some new wineries (soon, so that we can book them)
9. Make programs to distribute to those attending listing names and phone numbers of all participants
10. Suggestion made to lower the price of Goat Chip Bingo chances to get more participation
11. Spend more time on the mic at the event to encourage people to stop and see what the vendors have to offer

Greg is finalizing details for this. He will contact Vonda when he has all details to send out notice.

RHBPA Newsletter

Ann Fisher-Bale suggested we create a quarterly newsletter to feature businesses and promote our group and the benefits of being a member. This will be discussed at a future meeting.

New Business:
Town of Royalton Bicentennial Event – August 27th
Julie is putting together a basket to donate to this event from the RHBPA. She already has 2 or 3 gift certificates and will solicit a few more to add to the basket for the event on August 27th.

Eastern Niagara Extra
Ann Fisher-Bale advised that if you place an advertisement in the Eastern Niagara Extra (just launched in September and distributed in Lockport and Newfane), it can be picked up and placed in the Union-Sun & Journal on a day of your choice, at no charge. Please contact her if you would like to place an ad.

  Upcoming Music in the Park Event
• The Moon Hunters Band may be able to play for the hour before Easy St. Big Band. We should know by the next meeting.
• Dave Stockton suggested we contact John Hotaling to participate in the event this year. He makes wooden wine bottle holders and other wood crafted items. Ann Busch will contact him.
• Ann Fisher-Bale volunteered to design an event flyer and redesign the tickets.
• Donna McCloy said they could print them on the FMC printer. Julie said the flyers and posters should go up 3 weeks in advance, about mid July.
• Julie said there are 72 wine glasses left from last year. Ann Busch will order 12 dozen more glasses from the Print Shop in Medina.
• Wineries participating: Leonard Oakes, Schulze, 810 Meadworks and Vizcarra Vineyards. Barker Brewing is also participating.
• We all need to promote this event to our family and friends and sell as many presale tickets as possible!
• It was decided that we should provide the portable toilets this year since we are anticipating a good turnout.

• Wineries: Leonard Oakes, Schulze, Vizcarra Vineyards. Barker Brewery will represent craft beer. Ann B is also waiting to hear from 810 Mead Works as to whether they are interested.
• Chocolate: Della’s Chocolate will participate.
• Farm Markets: Ann B will check with the local farm market (John LePard) to see if they want to participate. Julie will contact Harris Farm Markets to ask if they would be interested.
• Goat Chip Bingo: Sara is available and will provide the goat for this event.
• RH Community Library: Julie reported that Rebecca Schweigert asked if the Library could participate. This was approved.
• Publicity: Ann B will check with her brother-in-law to see if he can give us a price on posters. Julie will talk with Patt about doing flyers, tickets and postcards. Ann F-B will check with the Village to confirm they are doing an ad this year. Julie will try to get a picture for a newspaper feature.
• Caterer: It is Darrell’s turn so Ann B will see if he is interested.
• Door Prize: Donna said FMC will provide the basket for the door prize. Julie will ask Wendy if she can contact her friend about the overnight stay as part of the basket.

1. Scholarship – Greg is planning on getting information to Colleen Albee at the Guidance Office this week.
2. Membership Month – Greg reminded us that May is Membership Month. Notices/invoices will be sent to all members.
3. Music In The Park – July 17th – It was reported that Julie has not heard from Easy Street Band. She has talked to Dave Stockton who said he has a 4-piece band that would play the entire time if we needed. Ann F-B suggested calling the Blind Leading the Blind and she will contact them to see if they are available and what their price is. Ann B will call The Old Hippies to get their price and availability.
4. Ann B said we have to have two farm markets. Schwab’s said they do not want to do it this year. Ann B and Ann F-B will confirm the wineries (Schulze Winery, Leonard Oakes, Vizcarra Vineyards will be contacted as well as some others to get the number we need). Leonard Oakes should qualify as one farm market. Ann F-B will be seeing a couple of wineries this week so she will give them the date and advise that Ann B will be calling them. Yancy’s Fancy Cheese will also be contacted to see if they can participate (they could be the second farm market). 810 Meadworks will be contacted as well as a brewery Ann B has in mind. We may also contact Barker Brewing.
5. Greg will call Julie to see whether she has made arrangements for the tents and tables and port-a-potty.

New Business

1. Evening Mixer Meeting – Greg was not able to work out the logistics for the evening meeting that was proposed for May. We will plan on this for the October meeting.

Music In The Park – July 17th – Ann continues to work on this but would like a few volunteers. She will put together a list of tasks so that members can choose one to help with. Ann F-B will make a template listing the tasks to make available to members. Ann F-B has volunteered to help with wineries. Meadworks should be contacted to see if they would like to participate. Ann B also has the name of a Beer Works facility that we can contact.

Treasury – Suggestions to Put Money to Good Use – Please continue to think of ideas of how to use our money for the good of the organization and the Royalton-Hartland area.

Town of Royalton Bi-Centennial Year – This will be next year. We should start thinking of ways to participate.

New Business
Evening Mixer Meeting – It was suggested we have an evening meeting so that members who are unable to be at the morning meetings can attend this meeting. It will be scheduled for Wednesday, May 11th beginning at 6:30 PM with cocktails and appetizers. The meeting will be called to order at 7:00 PM. Greg will see if the Masonic Hall is available. He also has a speaker in mind that he will contact. All members are encouraged to bring a guest who might be interested in joining the RHBPA. Greg suggested we have two evening meetings a year to be scheduled in April and October.

List of Area Businesses – Ann F-B has compiled a list of 130 area businesses. We discussed sending e-vites to them for the May 11th evening meeting.

Newsletter – It was suggested we produce an RHBPA Newsletter. Greg suggested publishing this quarterly, listing community events coming up. It could include a business related article of interest to members. We could also feature a member’s business with details about its operations and offerings to their customers.

Goals for next meeting – come up with ideas for our newsletter.

Treasurer’s Report $4,428. Julie contacted Mahar’s regarding the bill for the port-a-potty we rented for the Wine Event. Mrs. Mahar passed away and she did all the billing so they are trying to go through the paperwork. They will send us a bill.

Old Business
Tree Lighting: Approximately 90 people attended the tree lighting outside in Village Commons and about 75-80 went in the Methodist Church for hot cocoa and cookies afterward. The Middleport Community Choir led everyone in Christmas carols. A good time was had by all!

Annual Dinner Meeting: This is to be held on Wednesday, January 20th at Mr. Bond’s Diner. Hors d’oeuvres and wine (provided by Julie and Greg) at 5:30 PM and dinner will be served at 6:00 PM. Ann F-B will prepare the flyer and send to Julie to email to all members. Menu includes Chicken Parmesan, Garlic Rosemary Pork, Meatballs, Penne with sauce, Glazed Carrots, Chef Salad and Ice Cream Bar for dessert. Cost is $10 for members and $20 for guests.

New Business
We have a good sum in our treasury and Julie suggested that we all try to come up with ideas of how we can use our money for the good of the organization. Please start thinking of suggestions to put our money to good use and bring them to the Annual Dinner meeting on January 20th.

• Goat Chip Bingo – July 4th – Everything is all set for this. Greg would like another volunteer to hawk tickets on at the Royalton Festivities. Julie will send email to ask for volunteers. She also brought presale tickets. We need to sell 25 to cover the door prize money. If this doesn’t make money this year, we should consider doing it at the Wine event.

• Music In The Park – July 19th
  Ann reported that the village will submit an ad for this. She has submitted the license and will follow-up on the status. Ann reported that she spoke with Wine About Winter committee to see where they purchased their glasses. There was a one-time set up fee of $20 and the screen is $40. If we get 12 dozen at $2.49 per glass the total would be $358.56 plus the $60 set up and screen fee. That would give us a total of 300 glasses. Patt and Julie are reviewing the postcard mailing list for duplicates. Everyone should ask friends and relatives if they need tickets to get presale numbers up. Call or email Julie with the number of tickets you need and she will bring tickets to the July 8th meeting or get them to you if you can’t attend. She also has posters to distribute so let her know if you can distribute some. Wendy is getting the gift certificate for the door prize.
• Travelling Troubadours – Ice Cream Social – July 11th
  The musical group Travelling Troubadours will be stopping here to entertain. They will park in front of Margaret Droman Park. Two local musicians will open. Patt’s son is getting the ice cream from Perry’s (employees get $50 in free ice cream). We will get two big tubs and some ice cream sandwiches. The Bond family will be in charge of getting dishes, spoons, napkins and toppings and serving the ice cream. Rebecca Schweigert has posters and will distribute to local businesses. The village is also running an ad in the paper. Julie will send an email to all members about this event.

Scholarship Winner
Faye Conley was selected. Brian Yaiser will present her award at Graduation.

Treasurer’s report – $3,256.82

Old Business:
Scholarship: Keith will check with the school to see about getting scholarship info on their website. It was also suggested that the student present their receipt or paid bill to receive the scholarship, rather than waiting until the end of the first semester. Keith also noted that since there are no business courses available for students, the school is trying to set up a business institute similar to what some other schools have.

Since the scholarship has not been taken advantage of, the possibility of dropping it was also discussed. If we decide to do this, Ann Busch suggested we use money for trees for the village. Julie noted when trees are taken down, the village replaces them. This has been difficult to do now, because the state wants trees planted on the resident’s side of the sidewalk, due to maintenance of power lines. There is a tree committee in the village for decisions regarding the trees.

July 4th – Goat Chip Bingo – Sarah is all set with the goat and banner. Julie will send 2 presale tickets to every member. If more are needed, please contact Julie. One more person is needed on the day of the event to help with ticket sales.
July 19th – Music in the Park – Greg will call Cindy regarding the wineries she may have already booked and if she still wants to be involved with the planning. Ann Busch volunteered to take over the signing of wineries if Cindy no longer wants to. Julie said that she believes Schulze, Vizcarra, and LynOaken Wineries are already signed up. Aslan will donate the water. There is also a permit that must be completed (Dept. of Agriculture). This has been done by Schwab Farms in the past, as they participate in the event.

We discussed ways to increase attendance. Using websites, Facebook and other social media such as Middleport, NY, Orleans Hub, etc. was suggested. Also flyers and signs as in the past.

Discussion regarding the presentation that Ann Holahan made at our February meeting. Ann Busch went with her to the agency meeting. Ann H would fill out the application to complete but must go through an agency (such as us) to partner with for the grant money. There are 21 other applicants. At this time, grant money would be designated for Don & Sherry Heschke for the renovation of the former Reale’s Barbershop and Dominic Ciliberto for the FMC Community Bldg (formerly Mr. Bill’s). All work is done first and receipts must be turned in to be reimbursed for half of the cost (depending on available money). It is unsure as to how much money is available and how many of the 21 applicants would be accepted

New Business:

Ann Fisher-Bale – the annual Pride Magazine will be published soon. It highlights businesses in the communities around the area. Businesses can advertise on the Middleport page for $85. Please contact Ann if interested.
